How do I sign in to Grant 360?

Go to the Grant 360 login page by clicking on the Sign in button on the top right of Grant 360 website or directly by accessing https://auth.grant360.eu.

Grant 360 uses secure passwordless authentication. Depending on your account and device, you may be asked to sign in with a 6-digit email code or with a passkey. Once your identity is verified, Grant 360 creates a secure session and redirects you to the dashboard or to the app you were trying to access.

You do not need a separate password for each Grant 360 app.

I did not receive the 6-digit sign-in code. What should I check?

First, make sure you entered the correct email address.

Then check your spam, junk, promotions, or quarantine folder. If your organization uses strict email filtering, the message may also be blocked by your company's mail security system.

You can request a new code from the login screen. If you have already set up a passkey, you may be able to sign in with that instead.

The sign-in code is sent automatically by Grant 360's authentication system.

Can I sign in without a password?

Yes. Grant 360 uses passwordless authentication.

Depending on your setup, you can sign in with an email verification code or with a passkey. Grant 360 does not store or manage your password.

How does passkey authentication work?

A passkey lets you sign in using your device, browser, or password manager, usually with Face ID, Touch ID, Windows Hello, a device PIN, or another secure method.

When you use a passkey, Grant 360 receives a secure authentication confirmation. Grant 360 does not receive your biometric data or your device PIN.

Why am I redirected to auth.grant360.eu?

auth.grant360.eu is Grant 360's central authentication domain.

It allows you to sign in once and then access the Grant 360 dashboard and the apps connected to your account. After successful login, you are redirected back to the page or app you were trying to access.

My session expired. Is this normal?

Yes. For security reasons, your session may expire after some time or when authentication data is no longer valid.

If this happens, simply sign in again. If you are signed out very frequently, make sure cookies are enabled for Grant 360, avoid private browsing for regular use, and check that your browser or security extensions are not blocking authentication cookies.

Can I use the same account for all Grant 360 apps?

Yes. Your Grant 360 account is shared across the platform.

However, signing in does not automatically give you access to every app. The apps available to you depend on your subscriptions, project access rights, or internal user permissions.

I changed my email address. How can I recover access?

Your Grant 360 access is linked to your email address and your secure authentication identity.

If you still have access to your previous email address, sign in with it first. If you no longer have access, contact Grant 360 support so your identity and app access can be verified and updated safely.

I can't sign in. What should I do?

Check that you are using the right email address and that you are entering the latest verification code sent to you.

If you are using a passkey, make sure you are on the same device, browser, or password manager where the passkey was created. If needed, try signing in with an email code instead.

If the issue continues, contact Grant 360 support and include the email address you are trying to use.

How do I sign out of Grant 360?

Use the sign-out button in Grant 360.

This clears your Grant 360 session and ends the authentication session as well. If you are using a shared computer, you should also close the browser window after signing out.

Payment

How do I subscribe to a Grant 360 app?

Choose the app and plan you want from the Grant 360 pricing page, then continue to checkout.

After you confirm the payment, Grant 360 checks the payment status and activates the corresponding app access for your account and project.

Which payment provider does Grant 360 use?

Grant 360 uses Mollie to process online payments and manage payment methods securely.

When you pay or update your payment method, you may be redirected to a secure Mollie payment page to complete the operation.

Does Grant 360 store my card details?

No. Grant 360 does not store your full card number, CVC code, or raw banking details.

Payment details are handled by Mollie. Grant 360 only stores the non-sensitive references needed to identify your payment status and payment method.

How do I update my payment method?

Open the dashboard, go to Subscriptions, then open Payment details.

Click Update payment method. Grant 360 will redirect you to Mollie so you can securely add or update your payment method.

Why do I see a small verification payment when updating my payment method?

When you update your payment method, Mollie may require a small verification payment to create or validate the payment mandate.

This is used to confirm that the payment method can be used securely for future Grant 360 payments.

When is my subscription activated?

Your subscription is activated after the payment is confirmed as successful.

In most cases this happens quickly, but there can be a short delay while Grant 360 receives the final payment confirmation from Mollie.

What happens if my payment fails or is cancelled?

If your payment fails, expires, or is cancelled, the subscription is not activated and no app access is granted for that payment.

You can return to the pricing or checkout page and try again with the same or another payment method.

Where can I find my invoices?

Open the dashboard, go to Subscriptions, then open Invoices.

Your invoices are listed in reverse chronological order, with the most recent invoice first.

When is my invoice generated?

An invoice is generated after a successful payment, using the billing details attached to your account.

Grant 360 uses Pennylane to create and send invoices. If required billing details are missing, invoice generation may be delayed until those details are available.

Can I download my invoice as a PDF?

Yes. Go to Subscriptions, then Invoices, and click Download next to the invoice.

The PDF is retrieved from Pennylane when it is available.

Which billing details appear on my invoice?

Your invoice uses the billing profile linked to your Grant 360 account.

Depending on your profile type, this may include your name or company name, billing email, postal address, country, SIREN, and VAT number.

Can I use a company VAT number?

Yes. If you subscribe as a company, you can provide your legal company name and VAT number in your billing details.

These details are used for invoice generation and may affect the VAT information shown on the invoice.

Why is my invoice PDF unavailable?

The PDF may be temporarily unavailable if the invoice has not yet been fully created or sent by Pennylane.

If the invoice appears in your dashboard but the PDF is still unavailable, try again later. If it remains unavailable, contact Grant 360 support.

Dashboard

Getting started

What is the Grant 360 dashboard?

The Grant 360 dashboard is your central workspace for accessing Grant 360 apps, projects, notifications, subscriptions, support resources, feedback pages, and trust information.

It is separate from each individual app, but it connects them through the same Grant 360 account.

What can I do from the dashboard?

You can open the apps available to your account, view projects you are linked to, read notifications, manage subscriptions and invoices, contact support, browse the knowledge base, send feedback, and review trust and compliance information.

Why am I redirected from dashboard pages to another page?

Some dashboard menu entries are gateways to dedicated pages. For example, Help pages open the Helpdesk area, and Feedback pages open the Feedback area.

This keeps the dashboard navigation simple while allowing larger sections to have their own layout.

Why do I need to sign in again when opening the dashboard?

For security reasons, Grant 360 may ask you to sign in again if your session has expired or if your browser no longer has the required authentication cookies.

After signing in, you should be redirected back to the dashboard page you were trying to open.

Apps and access

How do I open one of my Grant 360 apps?

Open the dashboard and go to My apps. Each app available to your account appears as a card with an Open button.

In production, apps open on their own Grant 360 subdomain.

Why do I only see some apps in “My apps”?

My apps only shows apps your account can currently access.

Access depends on your subscriptions, project access rights, invitations, or internal user permissions.

What is the difference between “My apps” and “Other apps”?

My apps lists the apps already available to your account.

Other apps shows public Grant 360 apps that you do not currently have access to, so you can discover them or view their product pages.

Why is an app missing from my dashboard?

An app may be missing if your account does not have active access to it, if the related subscription is not active, if you were not invited to the relevant project, or if the app is not currently publicly available.

If you believe you should have access, contact support with the app name and the email address used for your Grant 360 account.

How do I access an app for a specific project?

Open the Projects section in the dashboard. Each project lists the Grant 360 apps available for that project.

Click the app name to open it. The apps shown depend on your access rights for that project.

How are my app permissions defined?

App permissions are based on access rights linked to your Grant 360 account, the relevant project, and the app.

For paid access, Grant 360 also checks that the related payment or subscription is valid.

What is the difference between read-only, edit, and admin access?

Read-only access lets you view content without changing it.

Edit access lets you modify content in the relevant app or project.

Admin access gives broader control, such as managing project-level access or app-related settings, depending on the app.

Projects

What are projects in the dashboard?

Projects represent the proposals, grants, or workspaces your account is linked to.

The dashboard groups app access by project so you can see which Grant 360 apps are available for each project.

Why do I see a project without access to all apps?

App access is granted per app and per project. You may have access to one app for a project, but not to every Grant 360 app.

This can happen when only some subscriptions or invitations apply to that project.

Can I access the same project from several Grant 360 apps?

Yes, if your account has access to several apps for the same project.

When this is the case, the project card shows the apps available for that project.

Notifications

Where can I see my notifications?

Open Notifications from the dashboard sidebar.

By default, the dashboard shows unseen notifications. You can also open Archived notifications from the contextual menu.

How do I filter notifications by app or type?

Use the filter controls at the top of the Notifications page.

You can filter by app, filter by notification type, and sort notifications by date, type, or app.

What happens when I mark a notification as read?

When you click Read, the notification is archived and no longer appears in the unseen notifications list.

You can still find it in Archived notifications.

Where can I find archived notifications?

Open Notifications, then choose Archived notifications from the contextual menu.

Archived notifications can still be filtered and sorted.

Why am I not receiving any notifications?

You may have no new notifications, or your current filters may hide them.

Reset the filters and check both Unseen notifications and Archived notifications. If you still expect a notification that is missing, contact support with the relevant app and project.

Feedback and support

Where can I submit a feature request?

Open Feedback from the dashboard sidebar, then choose Feature request.

You can describe the improvement you would like to see and submit it to the Grant 360 team.

Where can I see the product roadmap?

You can rate your experience and share comments about Grant 360 apps.

Where can I contact support?

Open Help from the dashboard sidebar, then choose Help contact form.

Use the form to describe your issue, select the relevant app or category, and send it to the Grant 360 team.

What is the knowledge base?

The knowledge base contains help articles about Grant 360 features, account access, payments, apps, and common workflows.

It is designed for quick self-service answers.

What is the forum for?

The forum is a place for community discussions, questions, and shared experience around Grant 360.

It is separate from private support tickets.

Where can I find tutorials?

Open Help from the dashboard sidebar, then choose Tutorials.

Tutorials provide guided learning resources for Grant 360 apps and workflows.

Where can I find compliance information and reports?

Open Trust, then choose Compliance and reports.

This section gathers compliance-related information and available reports.

What is the activity and incident log?

The activity and incident log provides visibility into trust-related events, incidents, or operational updates when available.

You can find it in the Trust section.

Account and privacy

Where can I manage my account details?

Open the account menu in the top-right area of the dashboard and choose Account details.

From there, you can review and update your profile information.

Can I export my account data?

Yes. The account area includes an account data export option.

The export is generated as a JSON file containing account-related information available to Grant 360.

Can I delete my account?

Yes. The account area includes an account deletion option.

Deleting an account is a significant action and may affect your access to apps, projects, and historical account data.

Internal users and logs

Why do I see connection logs?

Connection logs are shown only to internal Grant 360 users.

They help internal users monitor recent sign-in activity for their own account.

Who can access connection logs?

Connection logs are restricted to internal Grant 360 users.

Regular users do not see this section in the dashboard.

How are connection logs filtered?

Connection logs can be filtered by email, status, and authentication method.

For internal users, the dashboard only lists logs linked to the current account.

Grant Radar

Getting started

What is Grant Radar?

Grant Radar helps you identify relevant European research funding calls based on your research idea, publication list, strategy document, or website.

It analyses your input, extracts meaningful research topics, and matches them against available calls.

What kind of funding calls can I find with Grant Radar?

Grant Radar focuses on Horizon Europe and related European funding opportunities available in the Grant 360 call database.

The app currently highlights calls that are open or forthcoming, so you can focus on opportunities that are still actionable.

Where does Grant Radar get call information from?

Grant Radar synchronises call information from the European Commission Funding & Tenders portal.

The local Grant 360 database stores structured call data such as identifiers, titles, deadlines, status, keywords, summaries, objectives, expected outcomes, budget information, and official links when available.

How often are calls updated?

Calls are updated through Grant Radar synchronisation jobs.

When a call status changes, users who saved that call as a favourite may receive a notification.

What does “open” or “forthcoming” mean?

Open means the call is currently available for submission.

Forthcoming means the call is expected or planned but is not yet open for submission.

Search modes

How do I search by idea description?

Choose By idea description, then describe your project idea in plain language.

You can also add a short keyword list to guide the search toward specific scientific or technological areas.

How do I search by publication list?

Choose By publication list, then paste publication references, DOIs, or BibTeX entries.

Grant Radar uses this information to infer your research field and match it with relevant calls.

How do I search by strategy document?

Choose By strategy document, then paste or summarise your organisation's strategic priorities.

This mode is useful when you want to find calls that match a broader institutional or departmental strategy.

How do I search by website?

Choose By website, then enter the website URL.

Grant Radar attempts to read the page content and use it as the basis for call matching.

Which search mode should I choose?

Use idea description when you already know the project concept.

Use publication list when your research track record is the best input. Use strategy document for broader organisational priorities. Use website when your public website already describes your expertise or activities.

Can I add keywords to improve my search?

Yes. In idea and publication modes, you can add keywords to clarify the research area.

Good keywords include technologies, scientific topics, application domains, societal challenges, and specific terms used in your field.

What kind of input gives the best results?

Specific, structured input usually gives better results than very broad descriptions.

Mention the research field, technologies, target users or applications, expected impact, and any important constraints or keywords.

Filters and results

How do I filter calls by status?

Open Advanced filters in the search form, then choose a status filter.

You can search active calls, open calls only, or forthcoming calls only.

How do I filter calls by deadline?

Open Advanced filters and set a deadline from date, a deadline to date, or both.

This helps you focus on calls that fit your preparation timeline.

Why do I only see open and forthcoming calls?

Grant Radar is designed to prioritise actionable opportunities.

Closed calls are not shown in standard matching results because they can no longer be used for a new submission.

How are results ranked?

Grant Radar extracts keywords from your input, then matches them against call titles, summaries, objectives, expected outcomes, and stored keywords.

Calls with more matched keywords are ranked higher.

What are matched keywords?

Matched keywords are the terms extracted from your input that were also found in the call information.

They help explain why a call appeared in your results.

Why did Grant Radar find no matching calls?

No results may appear if your input is too broad, too short, too niche, or not represented in the current call database.

Try adding more detail, changing search mode, using different keywords, or widening your deadline and status filters.

Why are some results not perfectly relevant?

Grant Radar matches calls based on extracted topics and keyword overlap. It is a discovery tool, not a final expert assessment.

Always read the official call text before deciding whether an opportunity truly fits your project.

Why is the budget or deadline missing for some calls?

Some fields may be missing if the Funding & Tenders source data is incomplete or if the information could not be extracted during synchronisation.

Use the official call page for the most complete and authoritative information.

How do I open the official call page?

When an official URL is available, the call identifier and title in the result card link to the official call page.

Open it to review the full topic text, eligibility rules, documents, deadlines, and submission information.

Saved searches

How do I save a search?

After a search has finished processing, click Save this search above the results.

Saved searches are stored in the Saved section of Grant Radar.

Where can I find my saved searches?

Open the Saved section from the Grant Radar navigation.

You will see the searches you saved, including their mode, input, and number of matched calls.

Can I re-run a saved search?

Yes. Open Saved searches and click Re-run on the search you want to refresh.

Grant Radar creates a new search using the same mode and input.

Can I remove a saved search?

Yes. Saved searches can be removed from the Saved section.

Removing a saved search does not remove any calls you added to favourites.

Why should I re-run a saved search later?

Funding calls change over time. New calls may appear, deadlines may move, and call statuses may change.

Re-running a saved search lets you refresh the matching against the latest available Grant Radar data.

Favourite calls

How do I add a call to favourites?

Click the heart icon on a call result to add it to your favourites.

The icon changes to show that the call has been saved.

Where can I find my favourite calls?

Open the Favourites section in Grant Radar.

Your favourite calls are listed there with key information such as title, deadline, status, budget, and official link when available.

How do I remove a call from favourites?

Click the heart icon again on a call result or favourite call.

The call is removed from your favourites.

Will I be notified if a favourite call changes status?

Yes, Grant Radar can create a notification when a call you have saved as a favourite changes status during synchronisation.

You can review these notifications from the dashboard notifications area.

Eligibility checks

What is an eligibility check?

An eligibility check helps you review whether a call may fit your situation based on the information available in Grant Radar.

It is intended as a support tool before you read the full official call documentation.

How do I start an eligibility check?

From a search result, click Check eligibility.

Grant Radar opens a dedicated eligibility check page for that call.

What information does Grant Radar use for eligibility checks?

The eligibility check uses the call information stored in Grant Radar, including eligibility conditions when available.

It may also use the call identifier and related call metadata.

Can I ask follow-up questions during an eligibility check?

Yes. On the eligibility check page, you can ask follow-up questions about the call.

Grant Radar keeps the discussion linked to that eligibility check.

Is the eligibility check a final legal or funding decision?

No. Eligibility checks are guidance only.

Always verify eligibility, consortium rules, submission conditions, and official requirements directly on the Funding & Tenders portal or with a qualified funding expert.

Next steps after finding a call

How can I find partners for a call?

From a call result, click Find partners.

This opens the Grant Connect product page, where partner discovery and related workflows are presented.

How can I start preparing a proposal from a call?

From a call result, click Prepare proposal.

This opens the Grant Genius product page, where proposal preparation workflows are presented.

Can I use Grant Radar results in Grant Genius?

Grant Radar helps identify relevant calls, and Grant Genius is designed to help prepare proposals.

Use the call information from Grant Radar as the starting point for choosing the right Grant Genius proposal workflow.

Can I use Grant Radar results in Grant Planner?

Yes. Once you identify a relevant call and decide to pursue it, Grant Planner can help structure project planning, tasks, deliverables, risks, meetings, and reporting.

Grant Radar is for opportunity discovery; Grant Planner is for project execution and coordination.

What should I do after identifying a relevant call?

Open the official call page, read the full call text and eligibility conditions, save the call as a favourite, and discuss fit with your team.

If the call looks promising, you can move toward partner search, proposal preparation, and project planning.

Troubleshooting

Why is my search taking a few seconds?

Grant Radar analyses your input with AI, extracts topics, and matches them against stored call data.

This can take a few seconds, especially for longer inputs or website searches.

Why did the analysis fail?

Analysis can fail because of a temporary service issue, invalid input, an unreachable website, or an unexpected processing error.

Try again, shorten or clarify your input, or switch to another search mode.

Why does a website search not work?

A website search may fail if the URL is invalid, the website blocks automated access, the page is unavailable, or the page content cannot be extracted.

Try another page from the same website or paste the relevant text into the strategy or idea search mode.

Why can’t I find a call I saw on the Funding & Tenders portal?

The call may be closed, not yet synchronised, outside the current Grant Radar scope, or missing from the local call database.

Check your filters and use the official Funding & Tenders portal as the final source.

What should I do if call information looks outdated?

Open the official call page to verify the latest information.

If Grant Radar still appears outdated, contact support and include the call identifier so the team can investigate the synchronisation data.

Grant Genius

Getting started

What is Grant Genius?

Grant Genius is a proposal preparation workspace for Horizon Europe and other European research funding programmes.

It combines a structured proposal editor, templates, project planning tools, AI assistance, collaboration, versioning, and export features.

What types of proposals can I prepare with Grant Genius?

Grant Genius is designed for structured grant proposals, especially Horizon Europe proposals.

Available templates depend on the proposal templates configured in Grant 360, including templates mapped to specific call types when available.

How do I create a new proposal?

From the Grant Genius home screen, click New proposal.

You can start from a call, from a template, or from a blank proposal, then enter the required information and create the proposal.

What is the difference between starting from a call, a template, or a blank proposal?

Starting from a call lets Grant Genius select the template mapped to that call type when one exists.

Starting from a template lets you choose a predefined structure yourself. Starting from a blank proposal creates an empty workspace where you add sections manually.

How is the right template selected when I start from a call?

Grant Genius reads the selected call and looks for a template mapped to the call type.

If no mapped template exists, you may need to choose another creation method or contact an administrator to configure the template.

Where can I find proposals shared with me?

Shared proposals appear in the Grant Genius home area when another user has invited you.

Access depends on the invitation email, linked Grant 360 account, and active share status.

Proposal structure

How is a proposal structured?

A proposal is organised into sections and subsections.

Templates can pre-create a standard structure, while blank proposals let you add sections manually.

What is the navigation panel for?

The navigation panel lets you move between proposal sections and understand the proposal structure at a glance.

It is useful for working section by section without losing the overall document hierarchy.

How do I add a new section?

Use the Content or Navigation tools to create a new section.

For blank proposals, adding sections manually is the normal first step after proposal creation.

How do I reorder sections?

Sections can be reordered from the proposal navigation tools when the proposal structure is editable.

After reordering, section numbers and navigation labels are updated according to the current structure.

What is the difference between parent sections and child sections?

Parent sections act as headings or groups.

Child sections usually contain the detailed proposal text that you edit, review, and export.

Can I work on one section at a time?

Yes. Grant Genius supports working section by section.

This is useful for focused writing, AI review, comments, and section-specific guides.

Writing and editing

How does the editor work?

Grant Genius uses a rich-text editor for writing and formatting proposal content.

You can format text, add structured content, and insert proposal data such as tables, charts, citations, and planning elements depending on the active tools.

Does my work save automatically?

Autosave can save your edits while you work, depending on your proposal settings.

You should still watch for save indicators and use manual save options when available before leaving important work.

Can I save manually?

Yes. Grant Genius provides manual save actions such as Save and Close in the proposal editor.

Manual saving is useful before exporting, closing the editor, or making larger changes.

How do I insert tables?

Use the editor toolbar or proposal tools to insert tables.

Some specialised tables, such as budget or implementation tables, are generated from structured proposal data.

How do I insert images?

Use the editor image tools to add images where supported.

After inserting an image, check its size and placement before export.

How do I insert formulas or special characters?

Use the editor tools for formulas and special characters when writing scientific or technical content.

These tools help keep proposal text readable and consistent.

How do I search inside my proposal?

Use the proposal search bar when a proposal is open.

Search helps you find sections or content without manually scanning the full proposal.

Can I preserve formatting when pasting content?

Grant Genius supports rich-text editing, but pasted content can vary depending on its source.

After pasting from Word, PDFs, or web pages, review headings, lists, tables, and spacing before continuing.

AI assistance

What AI features are available in Grant Genius?

Grant Genius includes AI-assisted review, suggestions, translation, spell checking, and writing support features depending on the current proposal tools and settings.

AI features are designed to support drafting and review, not to replace expert judgement.

How do I run an AI review?

Open a proposal section, then use the Review tools to run an AI review.

The review analyses the current section and returns structured feedback and suggestions.

What does the AI review evaluate?

AI review is designed to assess proposal content against relevant grant-writing expectations and evaluation-style criteria.

The exact output depends on the section and available context.

How do AI suggestions work?

AI suggestions propose rewrites, improvements, additions, or clarifications for selected text or section content.

You remain responsible for deciding whether the suggestion fits your proposal.

Can I apply AI suggestions directly into my proposal?

Yes, when the interface offers an apply or insert action, you can move AI-generated content into the editor.

Always reread and adapt the inserted text before submission.

Can I translate proposal content?

Yes. Grant Genius includes translation tools for proposal content.

After translation, review terminology, evaluator language, and programme-specific vocabulary carefully.

Can I disable AI features?

AI features can be controlled from proposal or app settings when available.

This is useful if your team wants to work without AI assistance for a specific proposal.

Should I rely on AI suggestions without checking them?

No. AI suggestions can help you draft and review faster, but they may miss context or produce text that needs correction.

Always verify factual claims, eligibility statements, budget information, and strategic positioning yourself.

Guides and checklists

Where can I find writing guides?

Open the Review area and choose Guide.

Grant Genius includes general guides, section-specific guidance, and proposal checklists when available.

What is the section guide?

The section guide provides guidance for the proposal section you are currently working on.

It helps you understand expectations, common mistakes, and useful points to cover.

What are the proposal checklists?

Checklists help you track important review steps before submission.

They can cover early preparation, Excellence, Impact, Implementation, and pre-submission checks depending on the configured content.

Do checklist items save automatically?

Checklist state is designed to persist as you work.

If you do not see your checklist changes after reloading, contact support with the proposal name and browser details.

How should I use the guides before submission?

Use guides to review each section before final export.

They are especially helpful for checking whether your proposal answers the expected evaluator questions clearly.

Project planning tools

How do I create work packages?

Use the Project planning tools in Grant Genius to create work packages for the proposal.

Work packages provide the structure for tasks, deliverables, milestones, risks, charts, and budget tables.

How do I create tasks?

Create tasks under the relevant work package and define their timing and dependencies when needed.

Tasks can later be used in implementation tables, Gantt charts, PERT charts, and budget calculations.

How do I create a Gantt chart?

Use the Gantt chart tools to define work packages and tasks over the project timeline.

The chart can then be inserted into the proposal content.

How do I create a PERT chart?

Use the PERT chart tools to visualise task dependencies.

PERT charts are useful for showing how work packages and tasks relate to each other.

How do task dependencies work?

Task dependencies show that one task depends on another task before it can start or progress.

These dependencies can be used to build PERT-style visualisations.

How do I insert a Gantt or PERT chart into the proposal?

After creating the chart, use the insert action available in the chart tool.

The chart is inserted into the selected proposal section as proposal content.

How do I manage objectives?

Use the objectives tools to define proposal objectives and related KPI information when relevant.

Objectives can be cited or inserted into proposal sections using the proposal data tools.

How do I manage milestones?

Use the milestone tools to create milestones linked to the proposal timeline and work packages.

Milestones can be inserted or cited in implementation sections.

How do I manage deliverables?

Use the deliverables tools to create deliverables, assign them to work packages, and define their timing.

Deliverable tables can be inserted into the proposal.

How do I manage risks?

Use the risk tools to define project risks, likelihood, impact, and mitigation measures.

Risk information can be inserted into the proposal as structured tables or citations.

Budget tools

How do I build a budget table?

Use the Budget area to define partners, contributors, rates, person-months, and cost categories.

Grant Genius calculates totals from the structured budget data.

How are person-months calculated?

Person-months are calculated from the values entered for contributors and tasks or work packages.

Totals are aggregated across partners, work packages, and tasks where relevant.

How are partner costs organised?

Partner costs are organised by partner, contributor, work package, task, and cost category depending on the table.

This structure helps produce Horizon Europe-style budget tables.

What are the supported Horizon Europe budget tables?

Grant Genius includes support for several Horizon Europe-style budget tables, including personnel and other cost tables such as 3.1.f, 3.1.g, 3.1.h, and 3.1.i where configured.

Available tables depend on the proposal budget data you have entered.

How do I insert budget tables into the proposal?

Open the Budget tools, choose the relevant budget table, then use the insert action to add it to the selected proposal section.

Review the inserted table before exporting.

How do I manage other costs such as subcontracting or internally invoiced goods?

Use the other costs budget tools for categories such as subcontracting, financial support, internally invoiced goods and services, or access to research infrastructure where relevant.

These values can feed the corresponding budget tables.

Citations and proposal data

What are proposal citations?

Proposal citations are links between text in your proposal and structured proposal data such as work packages, tasks, deliverables, milestones, risks, objectives, or partners.

They help keep references consistent across the document.

How do I cite work packages, tasks, milestones, risks, deliverables, partners, or objectives?

Use the citation tools available for the relevant proposal data type.

Select the item to cite and insert it into the current section.

What happens if I update a cited item?

Grant Genius refreshes many citation labels and generated table placeholders when related proposal data changes.

You should still review the affected sections after major edits.

Why are some tables refreshed automatically?

Generated tables are based on structured proposal data.

When work packages, tasks, risks, milestones, deliverables, objectives, partners, or budget values change, Grant Genius may refresh table placeholders so the proposal stays consistent.

Collaboration

Can I invite co-authors to my proposal?

Yes. Use the Share tools to invite collaborators by email.

Invited users can access the proposal according to the access level you grant and the limits of your subscription plan.

What access levels can invited users have?

Collaborators can have different access levels, such as read-only or edit access, depending on how the proposal is shared.

Admin-level capabilities remain controlled by the proposal owner and subscription permissions.

Why can’t I invite more editors or readers?

Sharing limits depend on the active subscription plan linked to the proposal owner or project.

If you reach the limit, you may need to remove an existing share or upgrade the relevant plan.

How do comments work?

Comments let collaborators discuss specific proposal content or sections.

They appear in the proposal editing workflow and can be used to review, request changes, or clarify text.

How do I resolve comments?

Use the comment tools to mark a discussion as resolved once the issue has been handled.

Resolved comments help keep the review workflow clean.

Can I see who owns a shared proposal?

Shared proposals keep their original owner information.

This helps you distinguish between proposals you created and proposals where you are a collaborator.

Versions and history

How do proposal versions work?

Versions are snapshots of proposal content at a point in time.

They help you preserve important states before major edits, reviews, or submission milestones.

How do I create a version snapshot?

Use the version tools in the proposal editor to create a named snapshot.

Create snapshots before major rewrites or before applying substantial AI suggestions.

How do I restore a previous version?

Open the previous version and use the restore action when available.

Restoring a version replaces current content with the selected snapshot, so review carefully before confirming.

What is the difference between autosave and versions?

Autosave stores your ongoing edits while you work.

Versions are intentional snapshots that you can return to later.

Export and sharing

What export formats are available?

Grant Genius supports proposal export formats such as DOCX, PDF, and LaTeX where available.

Export availability can depend on the proposal content and server-side export tools.

How do I export to DOCX?

Open the export or sharing tools and choose DOCX.

The generated file is intended for review and further editing in Word-compatible software.

How do I export to PDF?

Open the export tools and choose PDF.

PDF export may take longer because the system needs to render the document into a fixed layout.

How do I export to LaTeX?

Open the export tools and choose LaTeX when available.

LaTeX export is useful for teams that want to continue editing in a LaTeX workflow.

Why can an export take some time?

Exports may include many sections, generated tables, charts, images, and formatted content.

The server may also need to run document conversion steps before the file is ready.

What should I check before exporting?

Review section order, generated tables, citations, figures, comments, and unresolved placeholders.

You should also verify that all required proposal sections are complete before using the exported document for submission.

Settings and troubleshooting

Where can I change proposal settings?

Use the settings tools available from the proposal editor or Grant Genius settings area.

Settings can include editing preferences and feature toggles depending on the current proposal configuration.

Why is autosave not working?

Autosave may fail because of a network issue, a session timeout, or a temporary server problem.

If this happens, try saving manually, refresh after confirming your latest edits are saved, and contact support if the issue continues.

Why can’t I edit a proposal?

You may have read-only access, the proposal may belong to another user, or your sharing invitation may not grant editing permissions.

Ask the proposal owner to check your access level.

Why is a proposal section missing?

A section may be hidden by the current view, not included in the selected template, deleted, or not yet created in a blank proposal.

Check the navigation panel and proposal structure before contacting support.

Why did an AI request fail?

AI requests may fail because of temporary service issues, missing input, very long content, or connectivity problems.

Try again with a shorter section or contact support if the issue persists.

Why did an export fail?

Exports can fail because of unsupported content, missing conversion tools, temporary server errors, or malformed document elements.

Try exporting again, simplify problematic content if needed, and contact support with the proposal name and export format.

What should I do if a chart or table does not update?

Refresh the proposal section, reinsert the chart or table, and verify that the underlying structured data is complete.

If it still does not update, contact support with the proposal name and the affected chart or table type.

Grant Planner

Getting started

What is Grant Planner used for?

Grant Planner is used to plan, coordinate, monitor, and report on funded projects after the proposal phase.

It centralises project structure, partners, work packages, tasks, deliverables, milestones, risks, budgets, expenses, timesheets, meetings, and reports.

How do I create a new Planner project?

Open Grant Planner, go to Project, then choose New.

You can start from a blank planning workspace or import a structure from an existing Grant Genius proposal.

Can I import a project from Grant Genius?

Yes. Choose Import from Grant Genius proposal when creating a new Planner project.

Grant Planner reuses the proposal's linked project when available and transfers structured proposal data into operational planning data.

What is imported from Grant Genius into Grant Planner?

The import can transfer partners, work packages, deliverables, milestones, risks, and personnel budget lines where those elements exist in the Grant Genius proposal.

Imported dates are converted from proposal months into calendar dates when the project start date is available.

Can I open, export, or delete an existing project?

Yes. Use the Project section to open existing Planner projects, export project metadata as JSON, or delete a project.

Deletion is permanent, so export important information before deleting anything.

What information should I add to the project summary?

Add the project title, acronym, grant agreement number, dates, programme, funding scheme, project type, summary, and logo where relevant.

This information is reused across the Planner workspace and helps reports and exports remain consistent.

Can I use Grant Planner without Grant Genius?

Yes. Grant Planner can be used as a standalone project management workspace by creating a blank project.

The Grant Genius import is only a shortcut for teams that already prepared a proposal in Grant Genius.

Team

How do I add partner institutions to a project?

Open Team, then Institution, and add the organisation as a project partner.

Partners can include order, role, coordinator status, partner type, and funding rate information.

Can I search institutions before adding them?

Yes. Grant Planner includes institution search tools and a CORDIS search option to help find existing organisation records before creating or adding a partner.

Using existing records helps avoid duplicates.

How do I add contacts to partner institutions?

Open Team, then Contact, and add a contact under the relevant partner institution.

Contacts can later be used for coordination, task follow-up, groups, and planning workflows.

What are contact groups used for?

Contact groups let you organise project contacts into practical groups, such as management board, technical leads, work package leaders, or reporting contacts.

Groups make it easier to keep coordination structures visible inside the project.

Can I remove a partner or contact from a project?

Yes. Team includes remove actions for partners, contacts, and contact groups.

Before removing a partner, check whether that partner is referenced in work packages, budget lines, expenses, or project records.

Work units

What are work packages in Grant Planner?

Work packages are the main building blocks of the project work plan.

They can include a number, title, description, lead partner, start date, end date, tasks, deliverables, milestones, budget lines, and progress tracking.

How do I create tasks inside work packages?

Open Work units, then Tasks, and create a task under the relevant work package.

Tasks can include numbering, title, description, lead partner, dates, and dependencies.

Can tasks have dependencies?

Yes. When creating or editing a task, you can link it to predecessor tasks from the same project context.

Dependencies are used by planning views such as PERT and help clarify execution order.

How do I manage deliverables?

Open Work units, then Deliverables, and create deliverables under the relevant work package.

Deliverables can include type, dissemination level, due date, lead partner, and tracking logs.

How do I manage milestones?

Open Work units, then Milestones, and create milestones with due dates and means of verification.

Milestones can be linked to work packages and tracked over time.

What is the difference between a task, a deliverable, and a milestone?

A task is work that needs to be performed, usually inside a work package.

A deliverable is an output that must be produced and submitted or delivered.

A milestone is a checkpoint used to confirm that an important project step has been reached.

Finance

How do I create a project budget?

Open Finance, then Budget, and add budget lines by partner, budget category, and work package where relevant.

Personnel budget lines can include person-months, rates, and contributor categories.

Which Horizon Europe budget categories are supported?

Grant Planner supports categories such as personnel costs, subcontracting, travel and subsistence, equipment, other goods and services, financial support to third parties, internally invoiced goods and services, access to research infrastructure, PCP/PPI procurement costs, Euratom staff mobility costs, and ERC additional funding categories.

The available categories follow the structured list configured in the Planner budget tools.

How are personnel costs calculated?

For personnel budget lines, Grant Planner calculates the amount from person-months multiplied by the person-month rate.

For expense lines, declared effort can be entered as person-hours, person-days, or person-months depending on the selected unit.

How are indirect costs calculated?

Grant Planner applies a 25% indirect cost calculation to eligible direct costs.

Subcontracting and specific subcontracting-like categories are excluded from indirect cost calculation.

How do I record actual expenses?

Open Finance, then Expenses, and add expense lines by partner, category, work package, budget line, amount, effort, rate, and explanation where relevant.

Expenses can be compared against the planned budget in tracking views.

What changes when the project is a lump sum grant?

For lump sum projects, the Finance menu focuses on the lump sum budget and timesheets rather than standard budget and expense tracking.

Some tracking views also hide expense tracking when the project is configured as lump sum.

Can I export budget and expense data?

Yes. Finance exports are available for budget and expenses.

You can export data as CSV or XLSX, and you can filter by partner before exporting.

What are saved rates used for?

Saved rates help reuse known personnel rates or cost rates instead of entering them repeatedly.

They are useful when the same contributor categories or partner rates are used across multiple lines.

Timesheets

How do timesheets work in Grant Planner?

Timesheets let project staff submit effort for a defined period.

A project manager creates a timesheet period, sends invitations, reviews submissions, then validates or rejects each timesheet.

How do I configure timesheet frequency and effort units?

Open Finance, then Timesheets, and configure the timesheet settings.

You can set the frequency, choose whether effort is collected in hours or days, and define invitee email addresses.

How are timesheet invitations sent?

When a timesheet period is created, Grant Planner creates one timesheet request per invitee email and sends an invitation email.

Invitees use the secure submission link included in the email.

What happens when a submitted timesheet is validated?

When you validate a timesheet, Grant Planner imports the recorded effort into Finance as personnel expense lines.

Hours are converted using 215 hours per person-month, and days are converted using 20 days per person-month.

Can I reject a timesheet?

Yes. You can reject a submitted timesheet and include a rejection note.

Rejected timesheets are not imported into expenses.

Why do I need to select an institution when validating a timesheet?

Expense lines must be linked to a project partner institution.

Selecting the institution tells Grant Planner which partner should receive the personnel expense created from the timesheet.

Risks, quality, and ethics

How do I maintain the project risk list?

Open Compliance, then Risks, and create risk records with description, severity, likelihood, mitigation measures, and linked work packages.

The risk list is the reference point for later risk tracking.

How do I track risk updates over time?

Use the risk journal in Tracking to add dated observations and updates for existing risks.

This creates a history of how each risk evolves during project execution.

What are quality KPIs used for?

Quality KPIs define indicators used to monitor project quality and performance.

They can be created in the Compliance area and tracked later in the execution tracking journal.

How do I track KPI progress?

Open Execution, then Tracking, and use KPI tracking to add dated KPI log entries.

These logs help show progress and evidence over time.

How do I manage ethics issues?

Open Compliance, then Ethics, and create ethics issue records for obligations or concerns that need monitoring.

You can then track ethics issue updates during execution.

How do ethics issue logs work?

Ethics issue logs are dated updates linked to an ethics issue.

They help document actions, observations, and follow-up throughout the project.

Planning and execution

What planning views are available?

Grant Planner includes Gantt, PERT, to-do, and Kanban planning views.

These views use the structured project data created in work packages, tasks, deliverables, milestones, and to-do lists.

How does the Gantt view work?

The Gantt view displays project components on a timeline.

It uses project dates, work packages, tasks, deliverables, and milestones to help visualise timing and overlaps.

How does the PERT view work?

The PERT view focuses on task relationships and dependencies.

It is useful for understanding sequence, constraints, and execution logic.

How do to-do lists work?

To-do lists let you create operational action items inside the project.

Items can have statuses, due dates, assignees, and links to tasks, deliverables, or milestones.

What is the Kanban view used for?

The Kanban view presents to-do items by status so the team can monitor execution at a glance.

It is useful for day-to-day coordination and follow-up.

Can to-do items be linked to tasks, deliverables, or milestones?

Yes. A to-do item can be linked to a task, deliverable, or milestone.

This keeps practical follow-up connected to the formal project structure.

How do I filter or sort to-do items?

To-do items can be filtered by status, assignee, linked object, list, and search query.

They can also be sorted by title, status, due date, assignees, task, deliverable, or milestone.

Dashboard and tracking

What does the project dashboard show?

The project dashboard highlights upcoming and late project elements.

It can show work packages, tasks, deliverables, and milestones starting soon, ending soon, due soon, or overdue.

Can I filter dashboard alerts by institution?

Yes. The dashboard can be filtered by institution.

This helps each partner focus on the work packages, tasks, deliverables, and milestones that concern them.

How do I track work progress?

Open Execution, then Tracking, and use work progress tracking.

You can record updates for tasks, deliverables, and milestones through their tracking logs.

How do I track staff effort?

Staff effort can be tracked through timesheets and personnel expense lines.

Validated timesheets can create personnel expense lines that are then used in Finance and tracking views.

How do I track expenses against the budget?

Use Finance to create planned budget lines and actual expense lines.

Execution tracking can then compare budget and expense information by partner, category, and work package.

Why do some late deliverables or milestones appear on the dashboard?

Deliverables appear late when their due date has passed and they do not have a completed, cancelled, or approved tracking status.

Milestones appear failed or late when their due date has passed and no passed milestone log has been recorded.

Meetings

How do I create a meeting?

Open Execution, then Meetings, and create a meeting with its title, dates, location or online details, and related information.

Meetings are listed in reverse chronological order so recent coordination remains easy to find.

Can I record invitees and attendance?

Yes. Meetings can include invitees and attendance information.

This helps document who was expected, who attended, and what was coordinated.

How are meetings connected to project execution?

Meetings give the project a coordination history alongside tasks, risks, expenses, and reports.

They help teams keep operational decisions and project follow-up in one place.

Reporting

What types of reports can Grant Planner generate?

Grant Planner can create internal reports, financial reports, and technical reports.

Available report content depends on the project data entered for the selected reporting period.

How do internal reports work?

Internal reports are generated from structured project data for a selected period.

They can include progress, risks, KPIs, ethics updates, and other execution information depending on the data available.

How do financial reports work?

Financial reports use budget and expense data for the selected project period.

They can be generated for the project or a selected partner, depending on the report configuration.

How do technical reports work?

Technical reports use project tracking data and AI generation to draft structured technical reporting content.

You should review and edit generated content before using it externally.

Can I regenerate a report from the latest data?

Yes. Regenerating a report refreshes its content from the latest project data for the report period.

Review the regenerated report before sharing or exporting it.

Can I export a report as DOCX?

Yes. Reports can be exported as DOCX.

The export converts report headings, paragraphs, lists, and tables into a Word-compatible document.

Can I print a report?

Yes. Reports include a print view.

Use the print view when you need a browser-based PDF or paper copy.

Access and data

Who can access a Planner project?

Access depends on the Grant Planner subscription and the active project access rights linked to the user.

In production, users without active Grant Planner access are redirected back to the dashboard.

Is Planner project data saved automatically?

Most Planner actions are saved when you submit the relevant form or action.

Project data is stored in structured records rather than only in free text.

What does the JSON project export contain?

The JSON export contains core project metadata, Planner metadata, and partner information.

It is designed as a portable structured copy of important project-level data, not as a full archive of every operational record.

Why can I not see a Planner project I expected?

You may not have access to that project, the project may not have a Planner workspace yet, or another project may currently be selected in the Planner session.

Open the Project section and use the project list or search to confirm which Planner projects are available to you.

Grant Mind

Attached notes are notes created from another Grant 360 app and organised under the source app, such as Grant Genius or Grant Planner.

Can I use Grant Mind together with Grant Genius or Grant Planner?

Yes. Grant Genius and Grant Planner can create Grant Mind notes for proposal or project items.

Those notes are stored in app-specific folders so you can keep context and commentary close to the source item.

Notes and folders

How do I create a new note?

Use the new item menu in Grant Mind and choose the note type you want to create.

If you create a note while inside a folder, the note is added to that folder.

How do I create a new folder?

Use the new item menu and create a folder with a name, parent folder, mode, sort order, and colour.

Folders can be nested under other folders when you want a deeper structure.

What folder modes are available?

Grant Mind supports knowledge, manuscript, and journal folder modes.

The folder mode changes how notes are displayed and sorted inside that folder.

What is a knowledge folder?

A knowledge folder is the general-purpose folder mode.

It can contain different note types and usually sorts notes by recent activity.

What is a manuscript folder?

A manuscript folder is designed for ordered writing.

It only accepts text notes and lets you reorder notes manually, which is useful for chapters, sections, or long-form material.

What is a journal folder?

A journal folder is designed for chronological note-taking.

It only accepts text notes and can be viewed in chronological or reverse chronological order.

Can I move notes between folders?

Yes. You can update a note's folder from the note metadata area.

You need editor access to both the note and the destination folder.

Can I reorder notes inside a manuscript folder?

Yes. Manuscript folders support manual note reordering.

Only active text notes in that manuscript folder can be reordered.

What happens when I delete a folder?

When deleting a folder, you must choose what happens to the notes inside it.

You can move the notes to the root level or delete the folder and its notes.

Note types

What is a text note?

A text note is a standard rich note for writing, thinking, meeting notes, research summaries, and project commentary.

Text notes can also be shown in document or outliner view.

What is a canvas note?

A canvas note is a visual workspace for linking notes and folders spatially.

It is useful when you want to map ideas, sources, proposal items, or project elements visually.

What is a data note?

A data note is a structured table-like note.

It contains fields, rows, and cells, and can be viewed as a table or a Kanban board.

What is a temporal note?

A temporal note is a structured timeline or calendar note.

It includes date fields by default and can be viewed as a list, calendar, or timeline.

Why are some note types not available in manuscript or journal folders?

Manuscript and journal folders are limited to text notes because their layout depends on ordered or dated text entries.

Use a knowledge folder when you want to mix text, canvas, data, and temporal notes.

How are untitled notes named?

If a note has no title, Grant Mind displays a default name based on its type.

Examples include Untitled note, Untitled canvas, Untitled table, or Untitled timeline.

Writing and organisation

How do I edit a note?

Open the note and edit its title, content, folder, metadata, tags, links, or structured fields depending on the note type.

Changes are saved through the note editing actions available in the interface.

What is the outliner view?

Outliner view turns headings inside a text note into a structured outline.

It is useful for navigating long notes, reports, manuscripts, or planning documents.

How do favorites work?

You can mark notes as favorites to keep them visible in the favorites bar.

Favorite notes are ordered by recent activity and limited to the most recent favorites.

How do open tabs work?

Grant Mind keeps a session-based list of open tabs for notes you are working on.

This helps you move between several notes without losing context.

How do I archive a note?

Use the archive or trash action on a note.

Archived notes are moved out of the active note list and can be found in Trash.

How do I restore or permanently delete an archived note?

Open Trash to see archived notes.

From there, you can restore a note to active status or permanently delete it.

Search and filters

How do I search my notes?

Use the Grant Mind search bar to search note titles and note content.

Search results include active notes you own and notes shared with you.

Can I search by folder?

Yes. Use a folder filter such as folder:Folder name in the search bar.

Grant Mind searches matching folder names and shows notes inside those folders.

Can I search by tag?

Yes. Use tag:Tag name or click a tag filter.

Grant Mind filters notes that have the selected matching tag.

Can I find notes linked to another note?

Yes. Use the linked-notes search pattern from the search suggestions, such as notes_linked with:"Note title".

Grant Mind finds notes connected through note links.

How do chronological and reverse chronological ordering work?

Chronological order sorts results by creation date from oldest to newest.

Reverse chronological order sorts results by creation date from newest to oldest. Recent order sorts by latest update.

What can I do from the search palette?

The search palette can suggest notes, folders, tags, linked-note searches, ordering filters, and quick commands.

Commands can include creating a new note, creating a new folder, favoriting the current note, or archiving the current note.

Tags

How do I add tags to a note?

Open the note metadata panel and use the tag editor to add a tag.

Tags are linked to the note and can then be used for filtering.

Can I filter notes by tag?

Yes. You can click a tag or search with a tag filter.

The Notes view then shows active notes with that tag.

Are tags shared between users?

Tags belong to the user who created them.

Shared notes can be visible to another user, but each user's tag collection remains scoped to that user.

Can I remove a tag from a note?

Yes. Use the tag editor on the note to remove the tag association.

Removing a tag from a note does not necessarily delete the tag itself from your tag list.

Links and graph

How do I link one note to another?

Open a note and use the link tools to select another note as the target.

The link is stored between the source note and the target note.

What link types are available?

Grant Mind supports related, references, contradicts, supports, and extends link types.

Choose the type that best describes the relationship between the two notes.

What are backlinks?

Backlinks are incoming links from other notes to the note you are viewing.

They help you see which notes refer to or depend on the current note.

What does the graph view show?

The graph view visualises note relationships.

It helps you explore how your notes connect across topics, projects, proposal items, and linked knowledge.

Can canvas notes link to notes and folders?

Yes. Canvas notes can link to notes and folders.

When you link another note from a canvas, Grant Mind also stores a note relationship where appropriate.

Do linked notes create notifications?

When a note is linked to another user's note, Grant Mind can create a backlink notification for the target note owner.

Notifications may depend on the users and app records available at the time.

Data notes

What is a data note used for?

A data note is used for structured information such as lists, matrices, datasets, contact-like records, decision logs, or reusable tables.

It behaves more like a lightweight database than a free text note.

What field types are available?

Data notes can use text, number, monetary, date, select, and relation fields.

Each field type controls how values are entered and displayed.

How do rows and cells work?

Rows represent records in the data note.

Cells store values for a specific row and field.

What is a relation field?

A relation field links values to another data note when configured with a target table.

Grant Mind can use the target note's first field to offer relation options.

How does the Kanban view work?

Kanban view groups rows by a selected field, typically a select field.

You can also choose which field is used as the card name.

How do select fields affect Kanban columns?

Select fields provide the column values used by the Kanban board.

If no select field is chosen, Grant Mind falls back to available fields so the board can still render.

Temporal notes

What is a temporal note used for?

A temporal note is used for dated information such as events, deadlines, meetings, milestones, reading plans, or timelines.

It combines structured fields with calendar and timeline views.

What default fields are created in a temporal note?

Grant Mind creates Date, Heure, and Date de fin fields by default.

These fields give the note a start date, optional time information, and optional end date.

What views are available for temporal notes?

Temporal notes can be viewed as a list, calendar, or timeline.

Timeline view loads the Gantt-style timeline assets when needed.

How does the calendar view work?

The calendar view uses the first date field as the event start date.

It can also use a second date field as the event end date when present.

How does the timeline view work?

The timeline view builds timeline tasks from rows with a start date.

Text fields are used as task names, and the second date field can be used as the end date.

Which fields are used as start and end dates?

Grant Mind uses the first date field as the start date.

If there is a second date field, it is treated as the end date.

Sharing and permissions

Can I share a note or folder?

Yes. Owners can share notes or folders with other Grant 360 users.

Use the sharing panel to search for a user and choose the access level.

What is the difference between read-only and editor access?

Read-only users can view the shared item but cannot edit it.

Editor users can edit the shared note or folder and, for shared folders, edit accessible content inside the shared folder tree.

Who can manage sharing?

Only the owner of a note or folder can create, update, or remove sharing access.

Editors can edit content but cannot manage ownership-level sharing unless they are the owner.

What happens when I share a folder?

Sharing a folder also makes its descendant folders and notes visible to the shared user.

Editor access to a folder also expands to editable access for notes inside that shared folder tree.

Can shared users edit everything inside a shared folder?

Shared users with editor access can edit notes and folders covered by that shared folder access.

Read-only users can view the shared content but cannot edit it.

Why can’t I edit a shared note?

You may have read-only access, or the note may be inside a folder shared with read-only access.

Ask the owner to change your access level to editor if you need to edit it.

Attached notes

What are attached notes?

Attached notes are Grant Mind notes created from another Grant 360 app for a specific source item.

They let you keep notes, context, and commentary next to a proposal or project element.

Which Grant 360 apps can create attached Grant Mind notes?

Grant Genius and Grant Planner currently create attached Grant Mind notes.

Attached note folders are organised under app roots such as Grant Genius and Grant Planner.

How are attached notes organised?

Grant Mind creates an app-level root folder, then a workspace folder for the source proposal or project.

The attached note is then stored inside that workspace folder.

What happens if I open the same attached note again?

Grant Mind reuses the existing attached note when it finds the same origin key.

This prevents duplicate notes for the same source item.

Can attached notes keep a link back to their source?

Yes. Attached notes can store source metadata and a source URL when available.

This helps you return to the original Grant 360 item from the note context.

Settings and troubleshooting

Where can I change Grant Mind settings?

Open the Grant Mind settings page from the app header.

Available settings depend on the current Grant Mind configuration.

Why can’t I find a note?

The note may be archived, inside a different folder, filtered out by a tag or search query, or not shared with your account.

Clear filters, check Trash, and search by title or content.

Why can’t I create a certain note type in a folder?

Manuscript and journal folders only allow text notes.

Create canvas, data, or temporal notes inside a knowledge folder instead.

Why did my note update fail?

The note may be read-only for your account, the destination folder may not be editable, or the request may have failed because of a temporary connection or validation issue.

Check your access level and try again.

Why can’t I share with a user?

The user must already exist as a Grant 360 user and the search query must contain at least two characters.

You also cannot share an item with its owner.

Why is a linked or shared note missing?

The note may have been archived, deleted, moved, or no longer shared with you.

If you expected to have access, ask the note owner to check the sharing settings.

Grant Hub

Getting started

What is Grant Hub used for?

Grant Hub is the document and file workspace for Grant 360.

It helps you store, organise, download, share, and transfer files connected to proposals, projects, and Grant 360 workspaces.

How do I access Grant Hub?

Open Grant Hub from the Grant 360 dashboard or go directly to the Grant Hub app when your account has access.

In production, Grant Hub requires a signed-in Grant 360 user.

What are the main areas in Grant Hub?

Grant Hub has My files, Shared files, and Grant 360 files.

My files contains your own folders and uploads, Shared files contains items shared with you, and Grant 360 files contains folders created from other Grant 360 apps.

Can I use Grant Hub with Grant Genius or Grant Planner?

Yes. Grant Genius and Grant Planner can open Grant Hub and create a linked folder structure for the current proposal or project.

This keeps documents close to the workspace where they are used.

What can I store in Grant Hub?

You can upload files to root level or inside folders.

Grant Hub stores file metadata such as name, description, folder, size, type, owner, shares, and transfer links.

Files and folders

How do I create a folder?

Use the folder creation form in My files or inside an existing folder.

Folders can have a name, colour, and optional parent folder.

Can folders be nested?

Yes. Hub folders can have parent folders and child folders.

Grant Hub prevents a folder from becoming its own parent or being moved under one of its descendants.

How do I upload a file?

Open the target folder or root area and use the upload control.

Grant Hub creates a file record and attaches the uploaded file to it.

Can I upload files without a folder?

Yes. Files can be uploaded at root level without a folder.

Unfiled files are shown separately in My files.

How are files displayed?

Files are displayed with a name, icon, size, and update information.

Grant Hub chooses file icons based on common file extensions such as PDF, Word, Excel, PowerPoint, image, video, audio, and archive formats.

Can I rename or describe a file?

Yes. If you have editor access, you can update the file name and description.

The original uploaded blob remains attached while the display metadata can be edited.

Can I delete a file or folder?

Yes, if you have editor access.

Deleting a folder removes the folder record; files directly inside it are detached from the folder rather than deleted by the folder relationship.

Navigation

What appears in My files?

My files shows your own root folders, your unfiled files, and your folder tree excluding Grant 360 app-linked root folders.

It is the main area for documents you organise manually.

What appears in Shared files?

Shared files shows folders and files explicitly shared with you.

Grant Hub matches shares either to your user account or to your email address.

What appears in Grant 360 files?

Grant 360 files shows folders automatically created from supported Grant 360 apps.

At the moment, app-linked roots are created for Grant Genius and Grant Planner.

How does the breadcrumb work?

When you open a folder or file, Grant Hub builds a breadcrumb from the current item back to the root folder.

Use it to move back through the folder hierarchy.

Why do some folders appear under Grant 360 files instead of My files?

Grant Hub detects app-linked root folders by name, such as Grant Genius and Grant Planner.

Folders under those roots are treated as Grant 360 files because they were created from another app workflow.

Grant 360 linked folders

How are Grant 360 folders created?

When you open Grant Hub from a supported Grant 360 workspace, Grant Hub creates or reuses an app root folder and a workspace folder.

The workspace folder is named after the proposal or project title.

Which apps can create linked Hub folders?

Grant Genius and Grant Planner can currently create linked Hub folders.

The source app is recorded as either grant_genius or grant_planner.

What folder structure is created from Grant Genius?

For Grant Genius, Grant Hub creates section folders such as Documents, Institutions, Partners, Budgets, and Risks.

These folders sit inside the proposal workspace folder.

What folder structure is created from Grant Planner?

For Grant Planner, Grant Hub creates section folders such as Documents, Institutions, Tasks, Deliverables, and Risks.

These folders sit inside the project workspace folder.

What happens if I open Grant Hub from the same workspace again?

Grant Hub reuses the existing app root and workspace folder when they already exist.

This avoids creating duplicate folder structures for the same proposal or project title.

Downloading and previews

How do I download a file?

Open the file and use the download action.

Grant Hub redirects to the attached file URL with attachment disposition so the file downloads.

Can transferred files be downloaded without signing in?

Yes, public transfer links can be opened without a Grant 360 login.

Protected transfer links require the transfer password before the file can be downloaded.

Does Grant Hub identify image files?

Yes. Grant Hub detects image files from their content type when the attached blob is an image.

Image-specific handling can then be used by the interface where available.

How does Grant Hub show file size?

Grant Hub converts the attached file size into B, KB, MB, or GB.

This helps users understand file weight before downloading or sharing.

What counts as a large file?

Grant Hub treats files over 20 MB as large files in its model logic.

The interface can use this information to adapt the file display or transfer behaviour.

Sharing inside Grant 360

Can I share a file or folder with another Grant 360 user?

Yes. Users with editor access can share a file or folder by email.

If the email belongs to an existing Grant 360 user, the share can be linked directly to that user.

What access levels are available?

Grant Hub supports read-only and editor access levels.

Read-only users can view and download the shared item, while editors can modify it.

Can I share with an email that is not yet linked to a user?

Yes. Hub shares can store either a Grant 360 user or a recipient email address.

If the recipient later signs in with that email, Grant Hub can match shared items by email.

Who can manage sharing?

The item owner can create shares from the item interface.

Only shares owned by the current user can be updated or removed by that user.

Do shared users receive notifications?

If the share is linked to an existing Grant 360 user, Grant Hub creates a notification for that user.

Shares created only with an email address do not create a user notification until there is a matching user object.

Why can’t I edit a shared file or folder?

You may only have read-only access, or the share may be linked to a different user or email address.

Ask the owner to change your access level to editor if you need editing rights.

External transfer links

What is a transfer link?

A transfer link is a public link for sharing a specific Hub file outside the normal signed-in Grant 360 interface.

It is useful when you need to send a file to someone who does not have direct Hub access.

How do I create a transfer link?

Open a file and create a transfer link from the file panel.

You can set an expiration period, optional message, optional maximum downloads, and optional password.

Can transfer links expire?

Yes. Every transfer link has an expiration date.

Expired transfer links are marked as expired and are not considered active.

Can I protect a transfer link with a password?

Yes. If you enter a password when creating the transfer, Grant Hub stores a password digest.

Visitors must unlock the transfer before downloading the file.

Can I delete a transfer link?

Yes. The transfer creator can delete their transfer link.

Deleting the transfer link does not delete the underlying file.

Is max downloads enforced?

Grant Hub stores the max downloads value on transfer links.

Current transfer display and access are primarily controlled by expiration and optional password protection.

Permissions and access

Who owns a Hub file or folder?

Each Hub file and folder belongs to the user who created it.

Ownership is used to decide who has full control over the item.

Who can edit a Hub item?

The owner can edit the item.

A shared user can edit it only when they have an editor share matching their user account or email address.

Can I see folders shared with me in the folder tree?

Shared folders appear in Shared files.

Your personal folder tree is based on folders you own, while shared folders are listed separately.

Can I upload into a folder I do not own?

The current upload flow is designed around folders available in your Hub workspace.

If you cannot upload into a shared folder, ask the folder owner to upload the file or share an editable location that is available to your account.

Why was I redirected away from Grant Hub?

In production, Grant Hub requires a signed-in user.

If you are not authenticated, you are sent through the Grant 360 authentication flow.

Troubleshooting

Why can’t I find a file?

The file may be unfiled, inside another folder, owned by another user, or not shared with your account or email address.

Check My files, Shared files, and Grant 360 files.

Why can’t I upload a file?

You may not have selected a file, the destination folder may not exist, or your session may not have access to that folder.

Try uploading again from the correct folder.

Why can’t I rename or delete a file?

You need editor access to update or delete a file.

Read-only shares allow viewing and downloading but not editing.

Why can’t I share with someone?

The share must have a recipient email or user, and the item must be visible to you.

If the share fails, check the email address and your access level.

Why does a transfer link ask for a password?

The transfer creator protected the link with a password.

Enter the password provided by the sender to unlock the transfer.

Why is a transfer link no longer available?

The transfer may have expired or been deleted by its creator.

Ask the sender to create a new transfer link if you still need the file.
